From inventory to delivery

An ecommerce operation starts with inbound stock, accurate product references and agreed stock records. Fulfilment then receives goods in Spain, stores them and picks, packs and dispatches customer orders under an agreed process.

The scope must be documented: inbound checks, storage, order feeds, packaging, carriers, returns and exception handling. Halcyon operates from Spain; automated platform integrations are in development, so the order exchange method should be agreed first.

Why hold stock in Spain?

A retailer serving Spanish buyers may evaluate Spanish stock holding against shipping every order from its home country. Compare inbound freight, storage, per-order work, transport and returns before committing.

For example, a Polish brand with repeat Spanish sales might test a small selection of fast-moving SKUs in Spain. A Portuguese merchant may face a different transport pattern. Neither example implies a guaranteed delivery time or a universal saving.

Inbound goods, stock and orders

Provide SKU counts, units, dimensions, packaging and expected inbound frequency before quoting. Agree how arrivals are identified, discrepancies recorded and stock changes shared with the merchant.

Define the order file or other exchange method, cancellation handling, carrier options and returns. Any minimum volume, fixed fee or cut-off time belongs in the commercial proposal rather than an assumption made from this page.

Choose the right service

Fulfilment manages orders for shoppers. Forwarding receives and redirects specified packages. Amazon Prep prepares items for an FBA inbound shipment. These jobs can be combined only after the individual scopes are clear.

See the country-specific guides for Polish and Portuguese companies if those are your supply routes. The Poland–Spain freight page addresses moving stock between countries before the Spanish fulfilment stage.

How to brief a 3PL

Share monthly order estimates, SKU and unit counts, destination mix, dimensions, special handling and returns expectations. Identify seasonal surges and the systems currently used for sales and stock.

Ask for separate treatment of receipt, storage, picking, packaging and outbound carriage. A useful proposal also says how exceptions are reported and what information is needed to start.

Inventory control and exceptions

Each SKU needs a stable identifier, with receipts, sales, adjustments and returns recorded consistently. Agree who confirms sellable stock and how frequently the merchant and operator exchange updates. If an order arrives for a missing item, the exception process should say who decides whether to hold, substitute or cancel it.

A shared inventory view also supports replenishment: identify fast movers and allow for the time needed to bring more stock to Spain. Physical counts, their frequency and discrepancy handling should be part of the operational proposal.

Returns and customer experience

A return does not end when a parcel reaches the warehouse. Agree how the original order is identified, who inspects the item, which condition codes are reported and when a unit may re-enter sellable stock. Opened or damaged goods can require a merchant decision.

The 3PL does not automatically replace customer service or decide refunds. Separating those responsibilities helps the seller respond to shoppers using verified information and avoids counting unchecked goods as available stock.

A realistic launch plan

Start with a product file and a small set of test orders covering receipt, identifiers, order format, packaging, labels and notifications. Test a normal order, a cancellation and a discrepancy before scaling.

The launch brief should define an operational contact, replenishment calendar, product restrictions and billing units. Halcyon can review this Spain-based flow; exact conditions, possible minimums and timings belong in the proposal.

FAQ

Frequently asked questions
